Automation Overview

The Automation feature lets you create rules that automatically launch or queue campaigns based on conditions in your job inventory. This removes repetitive manual work and ensures your advertising reacts quickly to hiring changes.

Creating a rule

Triggers

A trigger is the event that causes an automation rule to fire. Available triggers:

  • Trigger type: fires when a job is added or updated.

  • Source: fires based on the selected feed.

  • Debounce: delays the execution to prevent performance overload.

Conditions

Conditions filter which jobs the rule applies to when it fires. You can combine multiple conditions with AND logic. Examples:

  • Job title contains "Engineer"

  • Country equals "Netherlands"

  • Company equals "Wonderkind"

Configure the campaign's setup:

  • Package: select the package you want to use for the campaigns created with the automation flow.

  • Campaign objective: choose between "Get clicks", "Collect Leads", and "Get applicants"(coming soon).

Asset validation

Before an automation run is allowed to proceed, NEXT checks that the required assets are in place for the platforms in the rule:

  • Meta: a Facebook page must be connected to the account

  • Google Display: a logo must be available in the account

If a required asset is missing, the run is blocked and you are notified before any campaign is created. This prevents failures later in the pipeline when the campaign reaches the delivery stage.

The Approval Queue

When a rule is set to Needs approval, each matched campaign is held in the Queue until a reviewer acts on it.

Accessing the Queue

Click Automation → Queue in the sidebar.

The queue shows all pending items across all active rules, sorted by creation date. Each item displays:

  • The rule name that triggered the action

  • Matched job details

  • The proposed action (e.g., "Create campaign: Senior Engineer – Amsterdam")

  • Time in queue

  • Assigned reviewer(s)

Reviewing an item

  1. Click an item to open its detail panel.

  2. Review the trigger that fired, the conditions that matched, and the proposed campaign details (budget, platform, copy preview).

  3. Choose an action:

    • Approve: the campaign is created immediately

    • Reject: the action is discarded; you can add a comment explaining why

Once a job is approved

Once you approve a queue item, that job will not re-appear in the queue on future feed syncs — even if the resulting campaign ended up as a draft or an incomplete campaign. The automation engine treats any previously approved run as a permanent block on re-adding the same job to the queue.

This means you can safely approve an item knowing that the same job won't require review again, regardless of what happens to the campaign it creates.

Queue filters

Filter the queue by:

  • Status: Pending, Approved, Rejected

  • Rule: show items from a specific rule only

  • Date range

Item expiry

Items expire if not reviewed within the timeout set on the rule's Reviewer node (default: 24 hours). Expired items are automatically rejected and logged in History.

To change the timeout: edit the rule in the Flow Builder and update the Timeout field on the Reviewer node.

Reviewer notifications

Reviewers receive:

  • An in-app notification when a new item is added to their queue

  • An email notification if email alerts are enabled in Settings

  • An escalation notification if an item is not reviewed within the deadline set in the rule's Reviewer node

KPIs dashboard

The Automation Analytics page shows top-level metrics:

  • Total matches: Total times any rule's conditions were met

  • Approval rate: % of queued items approved vs. rejected

  • Average approval time: How quickly reviewers act on queued items

  • Auto spend: Total budget deployed automatically this month

Enabling automation

The Automation module is feature-flagged. Contact your Wonderkind administrator if you don't see Automation in your sidebar.
